Position Description
As a receptionist, you will be an integral, full-time team member in our Administration group.
Essential Functions
- General Responsibilities
- Answer multi-line phone system, routing and screening calls.
- Make sure Lobby and A-Gallery are open and accessible during business hours, neat & tidy.
- Greet Clients and other guests in a courteous, professional, and helpful manner.
- Respond to inquiries from the public providing information about the firm or building history.
- Clean up the conference rooms when the meetings are adjourned and end of day.
- Keep an organized filing system for all tasks (i.e., travel, inventory, supply orders).
- Responsible for coordination of activities of Lunch and Learns (i.e., training sheets, food, rooms).
- Process interoffice, incoming and outgoing mail, packages and deliveries daily.
- Other Responsibilities
- Maintain all copiers/plotters, be the point of contact for any issues that arise.
- Provide accountability reports for office equipment and postage usage.
- Once a week, perform inventory audit and order supplies as needed – being mindful of price, and consistency with Integrus values.
- Oversee maintenance and service of office equipment.
- Maintain kitchen (including dishwasher & microwave) and coffee areas keeping them clean, orderly and stocked with coffee and other supplies.
- Set up beverages for meetings. When requested, order and set up for meetings.
- Additional Responsibilities
- Serve as the primary contact for building management and maintenance coordination.
- Act as a liaison with building tenants and ensure compliance with facility policies.
- Ensure technology and all needed support is organized
- Seek opportunities for professional development to reinforce your position and professional goals.
- Assist Operations Manager, Principals & Associate Principals as needed.
- Perform other duties as assigned by Office Leadership.
Position Requirements
- 2-3 years’ experience in an office setting
- Multi-Line phone system experience, preferably Zoom or similar online phone system
- Microsoft Office 365 software proficiency
- Punctual and outgoing personality to be able to warmly welcome individuals
- Qualities of a self-starter to identify problems and propose solutions
- Exceptional Time Management and Task-Switching skills
- Excellent verbal and written communication skills
Position Preferences
- An understanding of the architectural, engineering, and/or construction (AEC) industry.
- Proficiency with Adobe Software
Salary Range
This position offers $22/hr. - $27/hr. new hires typically receive between minimum and midpoint, however, we may go slightly higher based on experience and market.
